Privacy Policy for Legacy Landscaping

At Legacy Landscaping, we are committed to protecting your privacy and ensuring you have a positive experience on our website and when working with us. This Privacy Policy explains how we collect, use, disclose, and safeguard your information.

Information We Collect

We collect information you voluntarily provide to us when you:

  • Submit a contact form or request a free estimate
  • Send us an email or call us with questions
  • Book a landscaping service or become a client
  • Create an account in our client portal
  • Subscribe to our mailing list or newsletters

The information we collect may include your name, email address, phone number, physical address, property details, project preferences, and any other information you choose to provide. We also automatically collect certain information when you visit our website, including your IP address, browser type, pages visited, and the time/date of your visit.

How We Use Your Information

We use the information we collect for the following purposes:

  • To respond to your inquiries and provide customer service
  • To prepare and provide landscaping estimates
  • To schedule and manage your landscaping services
  • To send you project updates and related communications
  • To improve our website and services based on your feedback
  • To send marketing communications about our services (only with your consent)
  • To comply with legal obligations and protect our business interests

Payment Information

When you pay an invoice or deposit online, your payment is processed by Stripe, our payment processor. Card details are entered directly on Stripe's secure payment pages and are transmitted to Stripe — Legacy Landscaping never receives, sees, or stores your full card number, CVV, or bank login credentials. We retain only the information needed to keep your account accurate: the amount paid, the date, the payment method type (for example “Visa ending in 1234”), and the invoice the payment applies to. Stripe's handling of your payment data is governed by Stripe's Privacy Policy.

If you choose to enroll in automatic payments, Stripe securely stores your payment method on your behalf so future invoices can be charged on schedule. You may update or cancel your enrollment at any time by contacting us or using the link in any invoice email.

Business Financial Account Connections

Legacy Landscaping uses an internal business management application (our “CRM,” hosted at crm.colegacylandscaping.com) to run day-to-day operations, including our own bookkeeping. That application can connect to Legacy Landscaping's own business bank account through Plaid Inc., a financial data provider, so that our business transactions can be imported and categorized for accounting and tax preparation.

Two points matter here, and we want to be explicit about both:

  • This connection is to accounts owned by Legacy Landscaping, not to customer accounts. We do not connect, request access to, or receive bank account data belonging to our clients. Our CRM is an internal tool used by the business owner; it is not a consumer application and it is not offered to the public.
  • We never receive your bank login credentials, and we never receive ours. When a bank connection is established, authentication happens directly between the account holder and the financial institution through Plaid. Credentials are not transmitted to, entered into, or stored by Legacy Landscaping at any point.

The information we receive through this connection is limited to our own business account data: transaction dates, amounts, descriptions, merchant names, account names and types, and account balances. It is used solely for internal bookkeeping, expense categorization, profit-and-loss reporting, and preparing our business tax filings. It is never sold, rented, or shared for marketing, and it is never used to make decisions about any individual.

Consent for this connection is given by the account holder at the time the account is linked, through Plaid's own consent screen, and can be withdrawn at any time by disconnecting the account from within our application — which revokes Plaid's access to the account. Plaid's own handling of data is governed by the Plaid End User Privacy Policy.

Information Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information with:

  • Service providers who assist us in operating our website and conducting our business (under strict confidentiality agreements)
  • Legal authorities when required by law or to protect our rights
  • Third parties with your explicit consent or request

Data Security

We implement appropriate technical and organizational measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. In practice this means: all traffic between your browser and our website and applications is encrypted in transit using HTTPS/TLS; data is stored in a managed, access-controlled database that is encrypted at rest; access to business systems is limited to the business owner; and system credentials are held as protected environment configuration rather than written into our application code. However, no transmission over the internet or electronic storage system is 100% secure, and we cannot guarantee absolute security.

Data Retention and Deletion

We keep information only as long as we have a reason to:

  • Client and project records are retained while you are an active client and afterward for as long as needed to service warranties, resolve disputes, and meet our legal, accounting, and tax obligations.
  • Estimate and contact requests that do not become projects are kept only as long as needed to follow up on the inquiry.
  • Business bank transaction data is retained for as long as the account connection is active and thereafter for the period we are required to keep supporting records for our business tax filings. Disconnecting the account from our application revokes further access immediately.
  • Marketing contacts are removed promptly when you unsubscribe.

You may request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it, by contacting us using the details below. We will honor deletion requests except where we are legally required to retain certain records, and we will tell you if that is the case.

Our website may use cookies and similar tracking technologies to enhance your browsing experience. Cookies are small files stored on your device that help us remember your preferences and analyze site usage patterns. You can control cookie settings through your browser; however, disabling cookies may affect your ability to use certain website features.
